Overview
The Ehsaas ePension System is the official digital platform of the Government of Khyber Pakhtunkhwa, used by Drawing & Disbursing Officers (DDOs) and departmental hierarchies to process the pension of retiring government employees, starting from the first retirement notification, through preparation and sanction of e-pension papers, up to final submission to AG Office and finally release of pension by the Accountant General (AG) Office.
End-to-End Process Flow
Login & User Roles
- 1Go to the portal home page and click "Login to Portal". Enter the username and password issued by your department's administrator.
- 2Optionally register a Passkey from your profile for faster, passwordless sign-in on trusted devices.
- 3After login you land on the Dashboard, which summarises retirement notifications, pension cases, and AG Office cases relevant to your desk. The bell icon in the header shows your latest notifications and can be marked as read.
- 4Before you can approve or sign any case, open Profile and upload your e-signature (a JPEG or PNG image, max 2 MB). This is the signature that appears on retirement notifications, pension papers, and forwarding letters you approve.
User Roles
Employee Records
- 1Use the Employees list to search by name, CNIC, personnel number, DDO code, designation or BPS, and to apply column filters or export results.
- 2Each employee's Date of Superannuation is calculated automatically from their Date of Birth plus 60 years.
- 3Open an employee's detail page to view identity, job, wage, and bank details, and to access retirement notification, pension papers, and attachments for that employee.
- 4If a field is missing or incorrect (bank details, designation, BPS, wage components, etc.), edit it directly on the employee's detail page before starting the retirement notification or pension case.
- 5Use Print on the employee's detail page to generate the full printable pension case package: pension papers, case details, calculation, and signatures.
- 6An employee can be marked Completed (archived) once their case is finished, or Activated again if it needs to be reopened.
User Accounts
- 1Go to Users → User and click "Create" to add a new officer's login account.
- 2Fill in their name, email, username, job description, and a temporary password. Set their designation and administrative unit.
- 3Select their Supervisor. This places them in your department's reporting hierarchy, which determines who they forward retirement notifications and pension cases to.
- 4Existing accounts can be edited, or archived / activated from the same list if an officer leaves or returns.
DDO & Department Mapping
- 1All 8,000+ DDO codes in Khyber Pakhtunkhwa are pre-loaded into the system.
- 2DDOs belonging to the Secretariat are assigned directly to their concerned departments by the system administrator.
- 3DDOs of field formations can be assigned by each department's own administrator to the relevant formation users, from Users → DDO Mapping.
- 4Search for a user, then assign, batch-assign, or transfer one or more DDO codes to them. Unassigned codes are listed separately for quick allocation.
- 5Define the officer's Pension Sanctioning Authority: choose the BPS grades (1 to 22) they are authorised to approve. Click a single BPS to select one grade, or drag to select a range, using the handles to adjust it as needed.
Employee Transfer
- 1Go to Employees → Transfer and search for the employee by Personnel Number.
- 2Only the employee's current / receiving DDO (of the department to which the employee has been transferred) can perform the transfer, ensuring the outgoing office confirms the move.
- 3Select the new DDO code and confirm. The employee's record instantly moves to the receiving DDO's employee list.
E-Retirement Notification
- 1From an employee's detail page, click "Retirement Notification". This becomes available once the employee is within six months of their Date of Superannuation.
- 2Review the auto-populated notification content, then submit it. It is placed with the current desk holder for review.
- 3Each officer in the chain can forward the notification to the next officer, revert it back with remarks for correction, or, if they hold final authority, approve it.
- 4If reverted, the notification returns to the initiator's desk for resubmission with an updated snapshot.
- 5Once approved, the notification is finalised and the case becomes eligible for the next stage: the pension case.
E-Pension Case & Papers
- 1Once the employee is within 30 days of superannuation, the "Initiate Pension Case" action becomes available on their detail page.
- 2The system auto-populates all available fields across the pension paper forms (Form 1 to 6, sanction forms, family application and sanction forms, life certificate, and non-marriage certificate) from the employee's record.
- 3Fill in any remaining fields for each form, save, and preview the generated pension papers. You also need to get the e-signature of the retiring employee on the pension paper.
- 4Like retirement notifications, the pension case moves through the same forward / revert / approve chain up to the officer holding sanction authority for the employee's BPS grade.
- 5Once sanctioned, generate the signed pension paper for the case; this locks further edits to the case.
Pension Calculation
The Auto Pension Calculation system computes the employee's pensionable pay and commutation using the pay components below, and automatically applies the retiring-year increment.
- 1Enter applicable pay components: Special Pay, Personal Pay, Qualification Pay, Overseas Pay, Senior Post Allowance, and any Other Pensionable Pay.
- 2Set the Commutation percentage the employee has opted for.
- 3If the employee has any Extraordinary Leave (EOL), enter the duration in years, months, and days; this is deducted from qualifying service in the final calculation.
- 4Save the calculation. It is recorded against the officer who entered it for audit purposes and feeds directly into the pension papers.
Required NOCs & Attachments
From the employee's Attachments tab, upload the following No Objection Certificates (NOCs) as scanned JPG, PNG, or PDF files (max 5 MB each):
Approval Chain & Sanction
- 1Every retirement notification and pension case is held by exactly one current officer at a time, following your department's reporting hierarchy.
- 2An officer with a pending item can forward it to the next officer up the chain, revert it to the previous holder with a remark explaining what needs correction, or approve it if they hold sanction authority for the employee's BPS grade.
- 3If no officer above holds sanction authority for that grade, the item automatically escalates to the nearest officer who does.
- 4Approved pension cases require a digital or uploaded signature from the sanctioning officer before the forwarding letter can be generated.
- 5Generate the Pension Forwarding Letter, a cover letter addressed to the AG Office summarising the case, auto-populated from the case data and requiring the sanctioning officer's approval before it can be attached to the submission.
Submission to AG Office
- 1The day after the employee's date of superannuation, the DDO opens AG Office Cases and submits the complete, scanned case file (pension papers, forwarding letter, and all NOCs) online to the AG Office. Before online submission, the DDO needs to get fingerprint impressions of the retiring employee and their signatures (if not taken earlier) on the pension papers.
- 2The corresponding hard-copy file should still be dispatched physically to the AG Office for their permanent record.
- 3AG Office reviewers see the case under Pending. They may raise an Observation with a message if something needs to be corrected, or Sanction the case to release the pension.
- 4If placed under observation, the department opens the case and clicks Clear, adding a reply message that addresses the observation. This moves the case back to Pending for AG Office review.
- 5Once Sanctioned, the case is marked final, along with the sanctioning officer and date, and the employee's approved status becomes visible to the department as well as on the public tracking page.
Public Application Tracking
- 1Visit the "Track Application" page from the portal home.
- 2Enter your 13-digit CNIC (without dashes) or your Personnel Number as the Tracking ID, then click Track.
- 3Your applicant details (name, father name, personnel number, designation, DDO, date of retirement) are displayed along with a four-stage status timeline: Retirement Notification → Pension Case → Finalisation → AG Office Review.
- 4Each stage shows who currently holds the case, or the outcome once it is complete, sanctioned, or under observation.
Frequently Asked Questions
The retirement notification becomes available six months before the employee's Date of Superannuation. The pension case can be initiated 30 days before that same date.
Only an officer who has been assigned sanction authority for the employee's BPS grade (configured under Users → Sanction Authority) can give final approval. If nobody in the immediate chain qualifies, the case automatically escalates to the nearest qualifying officer.
A reverted notification or case returns to the desk of the officer who last held it (typically the initiator), along with the remark explaining what needs correction. It can then be updated and resubmitted into the chain.
EOL stands for Extraordinary Leave. Any period of EOL taken by the employee (recorded in years, months, and days) is deducted from their qualifying service when the pension is auto-calculated.
Three: the Departmental Proceedings / Establishment Department NOC, the Government Vehicle / Transport NOC, and the Estate Office NOC. All three should be uploaded as JPG, PNG, or PDF files (max 5 MB) before the case is forwarded for sanction.
Once sanctioned internally, the DDO submits the case online as an AG Office Case the day after the employee's superannuation date. AG Office reviewers can raise observations or sanction the case for pension release. A hard copy is also sent to the AG Office for record.
Yes. The public Track Application page requires only the employee's CNIC (without dashes) or Personnel Number, and shows the live status of both the retirement notification and the pension case.
The employee's current DDO must perform the transfer by searching for the employee's Personnel Number under Employees → Transfer and selecting the new DDO code. The employee's record then moves to the receiving DDO.
